We collect only what we need to reply to you, do the work, get paid and keep the records we’re required to keep.
1. Who we are
Elevate IT Solutions LLC, a Missouri limited liability company based in Bolivar, Missouri, runs this website and our client portal. This policy explains what information we collect, why, what we do with it, and your choices.
2. What we collect and why
- The contact form. Your name, company, email, phone (if you give it), your message, and how you heard about us. We use it to reply to you. It reaches us by email.
- Bot protection. The contact form uses Cloudflare Turnstile to tell people from automated spam. It checks your browser and processes your IP address to do that.
- Booking a call. When you book through Calendar.com, it collects your name, email and the time you choose, and sends us the booking.
- Website analytics. We use Vercel Web Analytics to count visits. It sets no cookies. It records the page you visit, the site that sent you, your approximate location (country, region and city), and your browser, operating system and device type. It doesn't identify you: visits are grouped by a value that is discarded after 24 hours.
- Proposals in our client portal. When you open a proposal, we record that it was viewed and when, and which options you selected. This tells us it reached you.
- Signing. When you sign, we record your name, title, email, IP address, browser details (user agent) and the time. This is the evidence of who signed what, and when.
- Payments. Card and bank payments are processed by Stripe. We never see or store your full card number or bank login. We receive the payment method type, its last four digits and the amount.
- Email. We send proposals, invoices, receipts and replies through Postmark, which records whether each email was delivered.
- Hosting. This website is hosted on Vercel, which keeps standard server logs, including IP addresses, to run and protect the site.
- Client records. The contact details, agreements and invoices we need to work with you and keep our books.
3. Information in your systems
As your IT provider, we can see information stored in the systems we manage for you, such as email, files and user accounts. That information belongs to you. We handle it on your behalf and only to provide the services you asked for.
We don’t use it for anything else, and we don’t copy it out of your systems except as your backups require.
4. How we use it
- To reply to you, book calls, prepare proposals and do the work you ask for.
- To send invoices and receipts, and to take payments.
- To keep records the law requires, and to protect our systems and yours.
- We don’t sell your information, and we don’t use it for advertising.
5. How we protect it
We use multi-factor sign-in on our own accounts, keep access to the people who need it, encrypt our devices, and choose service providers that protect data the same way. No system is perfectly secure, but we treat your information the way we ask our clients to treat theirs.
6. How long we keep it
- Signed proposals and agreements, with their signing records: 7 years.
- Invoices and payment records: as long as tax law requires.
- Enquiries that don’t become work: 2 years, then deleted.
- Information in your systems: for as long as we manage them. When our work ends, we hand it over and remove our copies.
8. Data breaches
If a security breach exposes personal information we hold, we notify the people affected without unreasonable delay, as Missouri law requires, and tell them what happened and what to do. If it involves information in your systems, we tell you without unreasonable delay and help you with any notices you need to send.
9. Your choices and rights
- You can ask for a copy of the information we hold about you, and ask us to correct it.
- You can ask us to delete it, except records we must keep, such as signed agreements and invoices.
- You can tell us to stop contacting you at any time.
- We reply to requests within 30 days.
11. Children
Our website and services are for businesses. We don’t knowingly collect information from children under 13.
12. Changes to this policy
If we change this policy, we update the effective date at the top. Significant changes are also emailed to clients.
